PHONE SYSTEM

Our phone system is a VOIP phone system. If the internet is down, the phones are not working. Our provider is Ring Central. We currently have the following extensions

How to transfer a call

  • Pick up up the phone
  • Click on transfer
  • Dial the extension
  • If you want to speak with the "extension" first before transferring the call, do not hang up. You can then speak to the "extension". If you hang up, the call will be transferred.
  • If you do not want to speak with extension, you can hang up immediately. (e.g. if you know the person isn't available and the call will then call to voicemail for extension

How To: Split Scanned Documents in One E-mail


Student Services Printer

Splitting Scanned Documents

This function is used to scan multiple documents in one e-mail.

  1. Select "Scanner".
  2. Select 1 Sided Original.
  3. On the bottom right corner, select "Divide".
    • Select →Number of Originals to be Divided.
    • Select the item labeled per 1 sheet(s).
    • Select "OK".
    • Now "Divided per 1 sheet(s)" is highlighted.
  4. If your document is double-sided, select "2-sided Original".
    • Under "→Page Opening Orientation":
      • "Top to Top" should be highlighted.
    • Under "→Last Page":
      • "2 sides" should be highlighted.
    • Select "OK".
  5. Select the email account you want to send the scans to.
    • If not available on the screen, select "Manual Entry"
      • A pop up screen with a keyboard will appear. Enter the e-mail address.
      • Select "OK".
  6. Once the e-mail account is selected or entered, scan the documents as normal.

Printer Codes

Set Up Your Printer To Require Usercode Access to the Copy Functions


  1. Press the User Tools/Counter button on the top left side (not on the screen.)
  2. On the Touch Screen, select "System Settings."
  3. Select the "Administrator Tools" tab.
  4. Use the arrow to scroll to the next page.
  5. Select "User Authentication Management".
  6. "User Code Auth." will be highlighted
    • You will see "→Functions to Restrict Copier" with a menu of options next to it.
      • Select Restrict All (B & W / Single Color / Two-color / Full Color).
  7. Exit the menu.
  8. You should see a Usercode login screen now.

How To Set Up A Code

  1. Enter your user code, then press "OK."
  2. Press the User Tools/Counter button on the top left side (not on the screen.)
  3. On the Touch Screen, select "System Settings."
  4. Select the "Administrator Tools" tab.
  5. Select "Address Book Management" from the menu.
  6. Make sure the "Program/Change" option is selected (orange).
  7. Select "New Program."
  8. Make sure the "Names" option is selected (orange).
  9. Under the →Name option, select "Change".
  10. Using the keyboard, type the name of the user.
    • When you are finished, select "OK".
      • Notice the →Key Display option will automatically change to match the name you typed.
  11. Select "Auth. Info." tab.
  12. Under →User Code, use the number pad to enter the new user code.
    • Press the # button to register the number.
      • A code must be selected from the list of available codes located on Google Drive > Supplies & Materials > Printer Functions > and select the spreadsheet labelled Printer Codes.
        • You must update both sheets: Sheet labelled "Available" contains the available codes. Select the code you wish to assign and delete it from the "Available" sheet.
        • Add the new username and the corresponding code to the list on the "Assigned" sheet.
      • Notice the # button disappears. If you wish to re-enter the code, select "Change" to change the code. Press # when you are satisfied the code is correct.
        • Press "OK" when you are finished.
  13. Use the "Next" button on the bottom right corner of the screen to scroll through the options utnil you see →Available Functions.
    • Change from "None" to "Full Color / Two-Color / Single Color / Black & White".
      • Press "OK" when you are finished.
  14. You an see the new user displayed under the "Frequent" tab or "User Code" tab.
    • Select "Exit" on each window until you are on the Main Page.

How To Delete A User

When deleting a user, you must make sure you write down their assigned code and add it to the "Available" tab on the Printer Codes spreadsheet AND delete their information on the "Assigned" tab on Google Drive. This spreadsheet can be found on Google Drive > Supplies & Materials > Printer Functions > and select the spreadsheet labelled Printer Codes.

  1. Enter your user code, then press "OK."

  4. Select the "Administrator Tools" tab.
  5. Select "Address Book Management" from the menu.

Change a User Name/Code/Available Functions

Change A User's Name

How To Delete A User

When deleting a user, you must make sure you write down their assigned code and add it to the "Available" tab on the Printer Codes spreadsheet AND delete their information on the "Assigned" tab on Google Drive. To Upload a File

  1. Enter User Code.
  2. Select "Document Server".
  3. Select "Scan Original".
  4. You can change the User Name, File Name, and Password on this screen at the bottom.
    • To change the User Name:
    1. Select "Change User Name".
    2. Select the User you wish the file to 'belong' to.
    3. Select "OK".
    • To change the File Name:
    1. Select "Change File Name".
    2. Select "Delete All" to clear the contents.
    3. Using the keyboard, type the new file name.
    4. Select "OK".
    • To change the Password:
    1. Select "Change Password".
    2. Using the number keypad, enter your chosen numerical password. Press "OK".
    3. Confirm by re-entering the password. Press "OK".
  5. Scan the file as you normally would by either lifting the cover and using the exposure glass or by placing the document face-up in the tray located at the top of the printer.
  6. You will see your file uploaded to the Doc Server.

Editing a File

Once a file has been uploaded, you can change the file name, user, and password.

  1. Select the file you wish to change.
  2. On the right side of the touch screen, select "File Management".
    • To Change the User Name:
    1. Select "Change User Name".
    2. Select the User you wish the file to 'belong' to.
    3. Select "OK".
    4. If you are done making changes, press "OK" under "File Information".
    • To Change the File Name:
    1. Select "Change File Name".
    2. Select "Delete All" to clear the contents.
    3. Using the keyboard, type the new filename.
    4. Select "OK".
    5. If you are done making changes, press "OK" under "File Information".
    • To Change the Password:
    1. Select "Change Password".
    2. Using the keypad, enter your chosen numerical password. Press "OK".
    3. Confirm by re-entering the password. Press "OK".
    4. If you are done making changes, press "OK" under "File Information".

Deleting A File

  1. Select the file you wish to delete.
  2. Select "Delete"
  3. A pop-up screen will appear with "Are you sure you want to delete the following file?"
  4. Select "Yes"
  5. Exit the menu.
