CEL Team Checklist

  • Anyone can assign a task. The sheet should be filled out as follows:
    • Date: Today's date.
    • Requested By: Name of the person requesting the task, i.e. student, teacher, etc.
    • Task: Short title of the task.
    • Assigned By: The name of the person assigning the task.
    • Comments: Full description of the task, include all information and details necessary for the task to be completed.
      • This section should only be used by the person that created the task — Assigned By.
    • Deadline: Date task is due.
    • Owner: The owner will be assigned by team supervisors, Megan for Admissions, Shannon for Director and Christina for Student Services.
    • Owner Reply: To be used if Owner wishes to communicate with the person that assigned the task.
      • This section should only be used by the person that owns the task — Owner.
    • Completed: Date of when task was completed, i.e. 01/05/15
    • Follow Up Comments: Should only be used once the task is completed and can be used externally to communicate final results or internally to assign yourself a follow up task.
    • Follow Up Date: Date to follow up by, if task requires follow up.
  • Notes:
    • To keep the checklist up to date, use the filter on the Completed Date column. Select to filter by the value (blanks) - this will hide all tasks that were completed and will only show those tasks that don't have a completed date entered in the respective cell.
    • If a new task is created it should be posted on the responsible parties’ checklist.
      • ie. Student Services posts a task on the Director’s checklist to complete Stephanie’s student evaluation. The Director completes the evaluation and notices the entry score entered on the evaluation is incorrect. Then the Director would proceed to Student Services’ checklist and post a new task to correct the mistake. This post should be named RE: Stephanie’s Evaluation and in the comments ask to change the entry score.
    • When no new task is created, but rather you are expecting a response/comment/feedback, then it’s the assigner’s responsibility to go back to the original post and read over any comments that were made on the tasks they initially assigned.
      • ie. John will be leveling up next week. He speaks to Student Services and requests a specific teacher for the new level. Student Services posts a task on Director’s checklist. The Director approves the request, but responds with this information under the Owner Reply column. John returns to Student Services to follow up on his request. It is Student Services’ responsibility to go back and look for the response on the task they initially assigned. This may require the assigner to use filters to find the task they originally posted.
